CRM for Private Investigators & Security Firms | FormPatrol AI Command
CRM for investigators, security firms & public safety

Your case system runs your files.
Something has to run your revenue.

FormPatrol Command catches every missed call, works every lead, and follows up on every quote — so the person who called you at 9:47pm doesn't call the next name on the list instead.

The leak nobody is watching

Every industry you serve runs on trust. None of them run on follow-up.

The software built for investigators, guard firms, and agencies manages the work after the client is won. Almost none of it helps you win the client — or keep them.

100×

Higher odds of reaching a lead when you respond in 5 minutes instead of 30 — measured across a study of more than 15,000 leads.

Nobody misses those calls because they don't care. They miss them because they were on a surveillance, in a meeting, or asleep. That's a systems problem, and it's the one we fix first.

How it works

Four things happen the moment someone reaches out

01 · Catch

Nobody reaches voicemail

Missed call at any hour triggers an automatic text in under a minute. Form submission fires an instant SMS, an email, and an internal alert. The lead is engaged before your competitor's phone even rings.

02 · Track

One record, one pipeline

Inquiry, client, referral source, applicant — one contact record, one visual pipeline built for your actual stages. Case types for investigators. Bid stages for guard firms. Recruit funnels for agencies.

03 · Follow up

The quote doesn't die in silence

Automated email and SMS sequences work the lead that went quiet, nudge the proposal you sent two weeks ago, and keep referral partners warm without you remembering to.

04 · Keep

Reviews, renewals, re-engagement

Review requests routed after a good outcome. Renewal reminders before the contract lapses. Check-in cadences for clients you haven't spoken to in 90 days. The relationship keeps working after the invoice clears.

Who it's built for

Three configurations. Each one arrives pre-built.

You don't get an empty CRM and a tutorial. You get your industry's pipelines, forms, sequences, and dashboards already configured.

Investigator

Private investigation firms

For solo operators and firms up to 20. The pre-case funnel nobody else serves.

  • Case-type intake: surveillance, background, skip trace, insurance fraud, process serving
  • Retainer collection and automated dunning
  • Attorney and insurer referral nurture
  • Discreet review requests built around client confidentiality

Sits alongside CROSStrax, Clio or Filevine — it does not replace your case file.

Guard Force

Contract security & guard companies

Two pipelines most firms are running out of an inbox: contracts and applicants.

  • Bid and RFP pipeline with deadline reminders
  • Proposal follow-up sequences that fire after you hit send
  • Always-on guard applicant funnel with instant response
  • 30/60/90 onboarding and retention sequences

Sits alongside TrackTik, Silvertrac, Belfry or Novagems — it does not replace scheduling or patrol.

Advocate

Victim services — development side only

For the development and outreach office, never the program floor.

  • Donor pipeline, giving campaigns and lapsed-donor recovery
  • Volunteer recruitment and shift confirmation
  • Training and CEU registration for allied professionals
  • Community partner and board relationship management

Never survivor data. This limit is written into your contract. See scope below.

Where it fits

We're the missing half, not the replacement

Nobody wants to migrate their case files or their patrol logs. Don't. Keep what works and add the part that was never there.

Scope & compliance

What this product is not approved for

Most vendors let you find the limits after you've signed. We'd rather tell you on the first call — because in your line of work, the vendor who overstates their compliance posture is the one who creates your problem.

Approved uses
  • Client and prospect relationship management for private firms
  • Recruiting and applicant communication
  • Community engagement, events, and public information
  • Public records request status notifications
  • Donor, volunteer, and community partner management
  • Training and event registration
Prohibited — written into your contract
  • Criminal justice information of any kind (CJI)
  • Tip lines, anonymous or attributed
  • Case, incident, or investigative records
  • Anything derived from NCIC, III, or a state repository query
  • Personally identifying information of any survivor or client served by a VAWA, VOCA, or FVPSA-funded program

Why: the underlying platform holds SOC 2 Type II and ISO/IEC 27001:2022 certification, but is not CJIS-authorized, FedRAMP-authorized, or StateRAMP-authorized. Separately, VAWA confidentiality provisions bar grantees from disclosing client identifying information to a third party regardless of encryption, and NNEDV guidance requires zero-knowledge encryption that a commercial multi-tenant platform cannot provide. We will not sell you something that puts your certification or your grant funding at risk.

Questions

The ones people actually ask

Do I have to move off CROSStrax, TrackTik or Silvertrac?

No, and we'd rather you didn't. Those systems manage the work after the client is won — case files, evidence, scheduling, patrol logs, billing. FormPatrol AI Command manages everything before and around that: catching the inquiry, working the pipeline, following up, generating reviews, and keeping the relationship warm. They coexist. Most of our customers keep both.

Is this CJIS-compliant?

No, and we will not tell you otherwise. The underlying platform holds SOC 2 Type II and ISO/IEC 27001:2022 certification but is not CJIS-authorized, FedRAMP-authorized, or StateRAMP-authorized. CJIS would require a signed Security Addendum, FIPS 140-3 validated cryptography, and fingerprint-based background checks for every person with unescorted access to unencrypted CJI — including platform staff we don't control. Agencies use FormPatrol Command for recruiting, community engagement, event registration, and records-request status communication. Never for criminal justice information, and never for tip lines.

Can a domestic violence or sexual assault program use this for client intake?

No. VAWA confidentiality provisions bar grantees from disclosing personally identifying information about a client to a third party regardless of whether that information is encrypted, and NNEDV's guidance requires zero-knowledge encryption where only the program holds the keys — something no commercial multi-tenant platform provides. Putting survivor information here could expose you to a grant finding. Advocacy organizations use FormPatrol Command on the development side: donors, volunteers, training registration, community partners, and job applicants. That limit is written into a signed data-scope rider, not left to good intentions.

How long until it's actually working?

The full build — pipelines, forms, booking, email automation, dashboards — lands inside two weeks. Texting is the one piece we can't put a firm date on: no business in the US can send a text until the carriers approve your registration, and that can take anything from a few hours to several weeks. It's outside our control and outside anyone else's. We file it on day one, turn missed-call text-back on within a business day of approval, and sequence everything that doesn't depend on it first so you're never sitting idle. We'll tell you our current typical wait on the call rather than guess at it here.

What about text message compliance?

Your carrier registration is filed and maintained as part of onboarding, and every account ships with consent capture on its forms — timestamp, source and IP — plus automatic STOP and HELP handling and quiet hours set to the recipient's local time. Opt-out logging and consent records are exportable for your own retention requirements. We'll walk through exactly how each piece is configured during onboarding, and we'll tell you plainly what you can't do: purchased lists and scraped numbers are not usable here, and we won't help you send to them. What we won't do is tell you this makes you compliant — your consent practices are yours, and if you operate across state lines your counsel needs to look at them.

What happens if I want to leave?

Thirty days' notice, no cancellation fee, no long-term contract. You get a full export of your contacts, conversation history, and pipeline data in standard CSV format within five business days of your request. We'd rather earn the next month than trap you in it.

I'm a one-person shop. Is $97 realistic for me?

Do the arithmetic on your own numbers rather than ours. Take your average case or contract value, and ask how many missed calls a month this would need to recover to be worth $97 plus your messaging. For most investigators one recovered engagement covers a year of it. Messaging is the variable — a busy solo firm usually lands around $20–40 a month on top, and we'll estimate yours from your actual call volume on the demo rather than after you've signed.
